Overview:

The Business Support Officer is accountable for the provision of high quality, confidential, organisational and information management support and advice to the Director, Safety and Quality. The incumbent is responsible for building and maintaining effective internal and external relationships ensuring the provision of timely, concise and accurate services, including identifying, monitoring and attending to priority and urgent enquiries to ensure resolution and quality control of responses. This includes providing effective, efficient and confidential administrative services, preparing correspondence and briefs, executive committee support, email, diary and records management.

The purpose of the role is to enable an effective dedicated support service to Director, Safety and Quality, by coordinating and actioning a wide range of administrative functions across the portfolio. The position also provides administrative support to Clinical System Support & Improvement division.

Provision of high level confidential executive support to the Director, Safety and Quality will be achieved through the following activities:

  • Providing confidential, high level administrative support to the Director;
  • Communicating and liaising with executives and staff at all levels of DHW;
  • Assisting the Director to implement organisational projects, plans, milestones and monitoring of key performance indicators;
  • Undertake a coordination project role of all relevant programs and projects through monitoring their progress against projected milestones and deadlines. Liaise with responsible Project Sponsors and Project Managers;
  • Plan, schedule, arrange and participate in management meetings;
  • Contribute to the identification and preparation of responses to emerging and priority issues;
  • Liaising with key stakeholders as required by the Director;
  • Undertake research tasks;
  • Manage the Director's schedule, including travel, meetings and other activities; and
  • Identify and take appropriate action regarding report outcomes
