Executive Assistant - Surgery and Perioperative Medicine

Join SA Health as an Executive Assistant supporting the Division of Surgery and Perioperative Medicine (SAPOM) at Flinders Medical Centre in this full-time contract. You will provide high-level administrative support to senior medical staff, managing complex diaries and coordinating critical meetings in our fast-paced surgical environment. This opportunity offers the chance to contribute to exceptional patient care while working within South Australia's leading healthcare network.

About the role: 

Reporting to the Manager, this role is responsible for the provision of proactive, effective, and efficient administrative functions within the SAPOM Executive Office.

Duties for the role will include:

  • Ensure that service provision and the activities of the Division are person and family centred and professionally and effectively conducted by contributing to the development of an integrated team approach and culture which is highly responsive to the needs of our consumers,
  • Providing confidential executive assistance using initiative and judgement to facilitate effective utilisation of time with appropriate diary management,
  • Coordination, planning and scheduling of meetings with a range of purposes, applying knowledge and experience to achieve outcomes,
  • Preparing, collecting and distributing information required for meetings, including agendas, minutes, papers, associated documents and reports and facilitating the actioning of relevant action items,
  • Undertaking discreet projects as directed by the Divisional Directors or Senior Leaders within the division
  • Provision of coordination support for an annual event held at an offsite convention centre (event coordination experience not essential)

About you:

  • Demonstrated high level communication skills (interpersonal, verbal and written),
  • Proven experience in effective diary management and coordination of high-level meetings,
  • Ability to apply judgement and initiative and strong attention to detail
  • Ability to work with competing demands and prioritise in an ever-changing environment
  • Experience working in a complex and high-demand environment, where confidentiality and professionalism must be applied and maintained,
  • Proven experience in a range of software programs, including Microsoft Office and Adobe Pro,
  • Experience working in Government or SA Health Office is advantageous
