About the role
Provide comprehensive and confidential administrative support to the Division of Surgical Services, including coordination of theatre lists, outpatient clinic and ward clerking duties, and liaison with medical staff, patients and families to support efficient and coordinated surgical service delivery.
Key duties of the role
- Coordinate elective surgery bookings using EMR and ORMIS, ensuring accurate patient registration, theatre scheduling, and timely communication of admissions, changes and cancellations.
- Provide high-quality confidential administrative support, including medical typing, correspondence, data entry, record management and maintenance of departmental information systems.
- Support medical staff by coordinating diaries, outpatient clinics, case notes, imaging, and ensuring all clinical and teaching resources are prepared and available.
- Assist with workload reporting, audits and data collection to support clinical governance, departmental performance monitoring and service improvement activities.
- Liaise with patients, families, clinicians and theatre teams to ensure smooth, efficient and patient-centred surgical service delivery.
Skills and Experience
- Demonstrated experience in an administrative or secretarial role within a healthcare or similar service environment.
- Strong competency in office systems including word processing, spreadsheets, presentations, email and scheduling tools.
- Excellent interpersonal and customer service skills with the ability to communicate effectively and manage sensitive interactions professionally.
- Proven ability to prioritise workload, work independently or within a team, and perform effectively under pressure in a busy environment.
- Sound understanding of confidentiality, patient rights, WHS, Equal Opportunity and public sector ethics and governance requirements.
