The Executive Assistant is responsible for providing a professional, timely and confidential executive support service to the Executive Director, Biodiversity and Nature Economy (ED), ensuring that Divisional correspondence is effectively coordinated (Ministerial briefings, Cabinet Submissions, Parliamentary business, regular business etc.), and that the Office is responsive to partners and stakeholders. The role provides leadership, guidance and support to Divisional administrative staff, ensuring that a high level of service is maintained throughout the Division, and works closely with all team members within the Office of the ED (OED). 

The Executive Assistant also plays a key role in facilitating emerging, complex and sensitive issues on behalf of the ED and managing minor projects, including updating relevant processes and systems, as required. Diplomacy, patience, and resilience are critical to success in this position, as is an ability to influence others in a sensitive and constructive manner. This role also requires excellent organisational skills, attention to detail and sound judgement.

Key functions undertaken by the Executive Assistant include coordinating and maintaining diaries and office correspondence, liaising with the Offices of other EDs and the Chief Executive, managing e-mails, ensuring tasks/actions of the ED and the OED are delivered on time, triaging letters, reports and preparing presentations, reviewing minutes and briefing notes, maintaining records, scheduling and maintaining travel arrangements, supporting other staff in the OED, and undertaking ad hoc tasks within the Office.

Contract: 
2 Year Contract

Special Conditions:

  • May be required to participate in responses to state emergencies or associated duties.
  • You must be an Australian citizen, permanent resident, or provide evidence that you hold a valid working visa that allows you to work in Australia without restrictions.
  • Prior to being employed, the successful applicant will be required to obtain a National Police Check.
  • May be required to undertake intra or interstate travel, occasional overnight absences, and work outside of the normal hours of work.

Remuneration: 
ASO4, $76,561 min - $80,256 max p.a.
