The Opportunity

We have an opportunity for an Executive Assistant to Executive Director to be part of our Industry and Regional Development Division within the Department of Primary Industries and Regions.

In this pivotal role, you’ll work closely with the Executive Director, providing executive support services and helping support the delivery of strategic outcomes while connecting people, priorities and information across a fast-paced and dynamic environment.

How You’ll Make a Difference

As the Executive Assistant to the Executive Director, you will:

  • Provide executive support services to the Executive Director and help support the delivery of strategic outcomes through timely advice, information and administrative coordination.
  • Keep a busy executive office running smoothly by coordinating and prioritising diary appointments, managing correspondence, monitoring emails and ensuring urgent matters receive the right attention.
  • Prepare and coordinate correspondence, briefings, business reports, meeting agendas, minutes and briefing papers, ensuring information is accurate, relevant and delivered on time.
  • Be an essential and highly professional first point of contact, building effective relationships with the Chief Executive’s Office, Minister’s Office, government agencies and key stakeholders across government and industry.
  • Stay one step ahead by monitoring meeting actions and workflows, identifying unresolved and/or emerging departmental and Ministerial issues, and ensuring priorities and deadlines remain on track.
  • Help make the Division even more effective by continually developing, managing and improving systems and processes, supporting project work and helping manage risks to the business.

About You

You will bring:

  • Strong experience in executive support, administrative processes and records management, with the ability to confidently support a senior executive in a fast-paced environment.
  • Exceptional organisation and prioritisation skills, with the initiative to act autonomously, anticipate what’s coming next and keep multiple priorities moving with limited supervision.
  • Excellent written and verbal communication skills, with the ability to communicate effectively with a wide range of people and produce high-quality written communications appropriate for senior and executive audiences.
  • Confidence handling sensitive and confidential information with professionalism, discretion, sound judgement and attention to detail.
  • A natural ability to develop productive working relationships and use tact and diplomacy when engaging with senior leaders, staff, government representatives, industry stakeholders and customers.
  • A proactive and solutions-focused approach, with the ability to anticipate problems and act, adapt to changing priorities and find practical ways to keep work progressing.

Special Conditions

  • Successful applicant will be required to satisfactorily complete a National Police Check (NPC) prior to being made an offer of employment.
  • Opportunity up to October 2027.
  • Full-time, 37.5 hours per week.

Requirements

  • Out of hours work and inter / intrastate travel may be required.
  • The incumbent may be required to undertake training and be willing to participate in emergency preparedness and response activities required by government agencies.
  • Australian residency or current work permit is required (responsibility of applicant to provide evidence of a current work permit).
  • You acknowledge your work, health and safety obligations and our expectations.

Remuneration

ASO5 - $92,122 min - $102,456 max per annum, plus superannuation
